Privacy Policy – Bidmii Quoting Tool
This Privacy Policy explains how Bidmii International Inc. (“Bidmii”, “we”, “us”, “our”) collects, uses, discloses, and protects Personal Information when you use the Bidmii Quoting Tool (the “Tool”). It builds on the Bidmii.com Privacy Policy and tailors it to the Tool.
1) Scope and Roles
This Policy applies to users of the Tool, including contractors and team members who create or send quotes. Bidmii is the organization responsible for Personal Information processed by the Tool.
2) What We Collect
a) Account and Identity
- Phone number and PIN or other authentication factors
- Name, business name, business contact details
- Profile settings, roles, and permissions
b) Tool Inputs and Content
- Project descriptions, scopes, measurements, photos, and files you upload
- Quote line items, prices, discounts, taxes, and terms you enter
- Client information you add to a quote (e.g., name, address, email, phone)
c) Transaction and Subscription
- Credit purchases, subscription tier, renewal status
- Payment method tokens and billing details handled by our payment processor
d) Usage and Device
- Log data (timestamps, IP address, user agent, feature use)
- Crash reports and performance metrics
- Cookie and similar identifiers
e) Support and Communications
- Support requests, chat or email messages, attachments
- Referral program data needed to track eligibility and rewards
Personal Information means information about an identifiable individual. Business contact information used for business communications is not Personal Information under Canadian law.
3) How We Use Information
- Provide the Tool: authenticate users, store projects, generate and manage quotes, manage credits and subscriptions
- AI-assisted features: transform inputs into draft scopes and pricing suggestions. You must review, edit, and approve outputs before sending
- Improve and secure the Tool: monitor performance, fix defects, prevent fraud and abuse
- Support and operations: respond to tickets, send service notices, process payments, and manage accounting
- Analytics: create aggregated or de-identified data to study feature use and improve quality
- Legal: meet legal, regulatory, and audit obligations and enforce our Terms
4) AI Processing
The Tool can send project inputs to an AI inference service to generate draft scopes and pricing suggestions. We restrict use of these inputs to provide the requested output and to operate and secure the service. AI outputs are suggestions. You decide what to send to clients.
5) Payment Processing
We use a payment processor to handle payments for credits and subscriptions. The processor collects and stores payment credentials and shares status and tokens with us. We do not store full card numbers or CVV/CVC.
6) Legal Bases (Canada)
We collect, use, and disclose Personal Information with your knowledge and consent, or as permitted or required by law. You may withdraw consent subject to legal or contractual limits. If you withdraw consent, some features may stop working.
7) Cookies and Similar Technologies
We use necessary cookies for authentication and security. We may use functional cookies to remember settings. You can control cookies in your browser. Blocking necessary cookies may break sign-in or key functions.
8) How We Share Information
We do not sell Personal Information.
- Service providers: cloud hosting, authentication, databases, logging, monitoring, analytics, payment processing, customer support, and AI inference. Providers use Personal Information only to deliver their services to us
- Your organization: where your account is linked to a company account, administrators may access your activity and content as allowed by role settings
- Business changes: as part of a merger, acquisition, financing, or sale, subject to confidentiality
- Legal: to comply with law, court orders, or to protect people and property
9) International Transfers
Personal Information may be stored or processed outside your province or country. Laws in those places may grant access to courts, law enforcement, and national security authorities.
10) Retention
- Account data: for the life of the account and for a period after closure to meet legal and audit needs
- Quote and project data: while the account remains active or as needed for support, compliance, or dispute handling
- Logs and analytics: for operational and security needs, then deleted or de-identified
11) Security
We use administrative, technical, and physical safeguards suited to the sensitivity of the data. No system can guarantee perfect security. Report suspected incidents to privacy@bidmii.com.
12) Your Choices and Rights
- Access and correction: request access to Personal Information and ask us to correct it
- Withdrawal of consent: request to withdraw consent for future processing, subject to limits
- Account deletion: request deletion of your account and account record; some data may be kept to meet legal duties
- Marketing: unsubscribe using links in emails or by contacting support
13) Organization and Admin Access
If your account is part of a company account, users with admin roles may see or manage content and settings linked to the company workspace. Role-based access applies.
14) Children
The Tool is for business use by adults. Do not submit Personal Information about children.
15) Third-Party Links
The Tool or related sites may link to third-party sites or services. Their privacy practices apply to their services.
16) Changes to This Policy
We may update this Policy. We will post the new date at the top and, when changes are material, provide notice in the Tool or by email. Continued use of the Tool after changes means you accept the updated Policy.
